Learn how to inventory products manually, using a barcode reader, or through an Excel file.
Inventory is the process of counting the actual quantities of products in branches or warehouses and matching them with the quantities recorded on the Rewaa platform, helping you maintain accurate inventory data.
Information Before You Start
If the counted quantity is less than the quantity recorded on the platform, the product quantity is reduced upon completing the inventory.
If the counted quantity is more than the quantity recorded on the platform, the product quantity is increased upon completing the inventory.
Each inventory process is created for one location. To inventory more than one location, create a separate inventory process for each location.
Tracked products are inventoried directly from the platform and cannot be inventoried using a barcode reader or Excel file.
Bundled products do not appear in the inventory, as they are calculated based on their components.
💡 Example: You have a bundled product named "Cake" that contains oil, eggs, flour, and other products. Inventory these products, as any change in their quantities will directly reflect on the bundled product.
Create Inventory
Go to Products & Inventory > Inventory.
Click on "Create Inventory".
Choose the location you want to inventory.
Review the inventory name and edit it if needed.
Add notes, if any.
First: Manual Inventory
Search for the product name or its SKU.
Enter the actual quantity you have in the "Counted" field.
If the product is tracked, click on "Inventory" shown in the "Counted" column, then follow the steps according to the tracking type:
Products Tracked by Batch Number:
Enter the actual quantity you have for each batch.
Click on "Save".
Products Tracked by Serial Numbers:
The registered serial numbers for the product appear.
Select the serial numbers you have available.
Click on "Save".
Second: Inventory Using a Barcode Reader
Click on the barcode icon next to the search field.
Place the cursor in the empty box.
Scan the product's barcode using the barcode reader.
Press the Enter key.
Repeat scanning the barcode to increase the quantity, or click on the edit icon to manually change the quantity.
Click on "Add to Inventory".
Third: Inventory Using an Excel File
Exporting the file and entering quantities:
Click on "Export Products".
Choose the file format (XLSX).
An Excel file is downloaded to your device, containing the product names and SKUs of the products in the location.
Enter the actual quantity for each product in the quantity column.
Save the file, then return to the platform.
Import the File:
Click on "Import Products".
Upload the Excel file.
The import result appears, showing the number of products uploaded and the products for which no quantities were entered.
Click on "Ignore and Continue" if you wish to proceed without entering quantities for the remaining products, or add quantities for the remaining products, then re-upload the file.
ℹ️ If the Excel file fails to upload, ensure:
The header row is not deleted, repeated, or the column names changed.
The SKU is not duplicated.
The correct data type is entered in the fields.
Then re-upload the file.
Completing the Inventory
After entering the counted quantities, the following data appears automatically:
Difference: The difference between the quantity recorded on the platform and the quantity you entered.
Cost: The cost value of the products you inventoried, based on the product cost on the platform.
ℹ️ Note: The product cost affects the inventory value and net income, whether it increases or decreases.
To complete the inventory process:
Review the quantities and differences.
Click on "Complete".
The new quantities reflect on the inventory immediately after completing the inventory.
To resume inventory later:
Click on "Save for Later".
ℹ️ Note: If the quantity of a product changes due to sales, purchases, or returns during the inventory pause, a notification appears when resuming the operation indicating a change in the product quantity.

Can I edit the inventory after completing it?
The inventory cannot be edited after completion. If you want to correct the quantity, create a new inventory process.Is there a report for inventory?
Yes, you can access the inventory report through: Reports > Inventory > Inventory Summary Report.Can the device dedicated to inventory be linked with the Rewaa platform?
