Rewaa platform offers you the feature of inventory counting using an (Excel) file, making it easier for you to quickly update product data. If you use an inventory counting device that outputs its data in an (Excel) file, you can easily transfer the data to Rewaa's approved template and then upload it to the platform after completing the counting process and calculating the available quantities. This feature helps you save time and effort, as inventory data is updated without the need to manually enter quantities. You can also export products in Rewaa's template, count them manually, and then re-upload the file to the platform.
Steps to Inventory Count with (Excel) File
To inventory products through an (Excel) file, go to:
- Products and Inventory > Inventory Count > Create Inventory Count.
Add the following data:
- Location: The branch whose products you are counting.
- The inventory name and date appear automatically, and you can modify them as you see fit.
Count Your Inventory:
- After selecting the branch, all products in the branch will appear in the (Product Name) column, with the available quantities in the Products section on the Rewaa platform in the (Expected) column.
ℹ️ Single-type products and multiple products appear, but bundled products do not, as they are a group of products counted based on the items they contain. Example: You have a bundled product named "Cake," which includes oil, eggs, flour, and other products. Count these products, knowing that any change in their quantities will be directly reflected on the bundled product.
- Click on: Export Products, choose the XLSX file format.
- An (Excel) file with the products in the branch, product name, and SKU for each product is downloaded.
- Add the actual quantity you have (counted) in the quantity column.
- After adding the quantities in the (Excel) file, click on Import Products.

Upload the (Excel) file to the platform. After uploading, you will see the number of products uploaded and the number of products for which you did not enter the quantity.

Click on: Ignore and Continue if you want to upload the file without modifying the quantities. Or re-upload the file after adding quantities for all products.
- The quantities will be uploaded in the (Counted) column.
The data will automatically appear in the Difference column and the Cost column.

Difference: The difference between the quantity on the platform and the quantity you actually counted, the difference appears automatically after entering the counted quantities.

If the counted quantity is less, the difference appears as negative. Example: In the Products section (Inventory on the platform), you have 10 pieces. When you do the actual count, you find only 9 pieces. Write the quantity you have, and the difference (-1) will appear, indicating a difference between the actual inventory and the inventory on the platform by one piece.

If the counted quantity is equal to the quantity in the Products section (Inventory on the platform), the difference is 0, indicating no difference between the actual quantities and those on the platform.

If the counted quantity is more, the difference appears as positive. Example: In the Products section (Inventory on the platform), you have 3 pieces. When you do the count, you find 7 pieces of the product. Write the quantity you have, and the difference (+4) will appear, indicating a difference from the quantity on the Rewaa platform by four pieces.

Cost: The cost value of the products you counted, shown based on the product cost you added to the inventory. Example:

If the counted quantity is less, the product cost appears as negative according to the quantity difference. Example: A product with a value of (70 Riyals), in the Products section (Inventory on the platform) you have 10 pieces. When you do the actual count, you find only 9 pieces. When you add the actual quantity you have, the cost appears (-70 Riyals).

If the counted quantity is equal to the quantity in the Products section (Inventory on the platform), the cost is 0.

If the counted quantity is more, the cost appears as positive according to the quantity difference. Example: A product with a value of (70 Riyals), in the Products section (Inventory on the platform), Rewaa you have 3 pieces. When you do the count, you find 7 pieces of the product. When you add the actual quantity you have, the cost appears (280 Riyals).

ℹ️ The product cost affects the inventory value and net income, whether it increases or decreases.
- When you finish counting all products, click on: Complete.

1- When uploading an (Excel) file with products, an error occurs?
If an error occurs when uploading the file, make sure that:

The first row of the file (header) or any columns are not repeated, deleted, or changed.

The product's SKU is not repeated.

Ensure the data type in the fields (texts and numbers).

Re-upload the file after verifying all data.
2- Can tracked products be counted by batch number or serial number?
Tracked products are counted directly on the platform and cannot be added through an (Excel) file.
3- How long does it take for the quantity to reflect in the Products section of the Rewaa platform?
Once the count is completed, the quantities are immediately reflected in the Products section (Inventory on the platform).
4- I have multiple branches and all products have equal quantities, can I count more than one branch together?
You can count each branch separately. Count the first branch, and when finished, count the second branch using the same steps outlined earlier.
5- Can specific products be counted?
Yes, you can search for the product name or SKU through the search field, the product you want will appear, and count it using the previous steps.
6- Can the count be saved and completed later?
Yes, this can be done. Click on: Save Later, and you can complete the count at any time.
ℹ️ When the product quantity changes in the Products section (Inventory on the platform) due to sales, purchases, or returns while pausing the count, a window will appear when resuming the count at the top of the page indicating a change in the product quantity.
7- Is there a specific report for inventory counting?
Yes, you can view the inventory counting report through Reports > Stock > Inventory Count Summary Report.
